One shift.
All the way through.
Roster it once. SysGuard reconciles what was planned with what happened on site, flags what needs a person, applies the right rates, and prepares payroll and billing.
Your team approves what matters.
Built for businesses that send people to work shifts at client sites.
Security · Cleaning · Labour hire · NDIS · Aged care · Hospitality
One wrong number should not become payroll and an invoice.
When a shift is retyped between the timesheet, payroll and billing, every hand-off is another chance to lose hours or money. SysGuard keeps one record moving through the whole operation.
The figures are made up. The kind of mistake is not: a number re-typed four times can be wrong four times, and nothing downstream knows.
One shift. One record.
No exporting the shift from one system and recreating it in another. The same approved record keeps moving.

Want to see what it actually read?
Here is one job your office never types again.
Photograph or upload the site timesheet. SysGuard reads the shifts, flags anything uncertain and checks the total. You confirm the work — you don’t type it.

AI that does the admin.
People make the decisions.
It suggests; a person decides. When it answers with figures, they come from your records. It cannot override a licence or a red list, and anything it is unsure of is put in front of somebody rather than filed quietly.
- Read
- The timesheet you just watched — one job of four. See it again above
- Ask
- Answer a question about your own figures, in your own words.
- Act
- Find legitimate cover for tonight — and explain why each person can or cannot take it. See it happen at 4:07 pm
- Write
- Turn a rough spoken incident into a readable report, keeping the original account.
Ask it in your own words. Get your own figures.
It reads the question and answers from your operational records — the same records the invoices and payroll already use.
Typed or spoken. Save it, name it, and have it arrive every Monday as an Excel workbook and a PDF.
A dictated incident
becomes a report.
Somebody speaks what happened into their phone at 2am. It comes back as something an office, a client or an insurer can read — and their original words stay on the record underneath, because those are the ones that matter later.
“yeah so about eleven two blokes come in the back door, i told em to leave they left, nothing broken, i rang the duty manager”
At approximately 23:00 two individuals entered through the rear door. They were asked to leave and complied. No damage was found. The duty manager was notified.
Some work does not need a model.
Approved hours build the recurring documents on their own — the same arithmetic, the same records, no re-keying. Nothing to second-guess, which is exactly why it is worth saying which half is which.
Built for the messy parts.
The problems that eat the office day rarely happen neatly. Someone cancels. Somebody signs on where they shouldn’t. A shift crosses midnight. SysGuard handles the exception before it becomes tomorrow’s admin.
Someone cancels.
Who can actually take the shift?
Finding somebody free is the easy part. SysGuard checks who is eligible — licensed, rested, not already working, not away and not red-listed — then shows you the legitimate options and why.
The client asks:
did they actually work it?
You already have the answer — when and where they signed on, the evidence attached to the shift, the actual hours, and whether they were allowed to be there.
Proof the shift was worked
They sign on from their own phone — at the site, or by scanning the tag on the door.
Worked longer than rostered? The office decides whether the actual time is the one that gets paid.
Licences checked for you
It reads the NSW and WA registers — before they are rostered, not after.
And an expired licence at a site that requires one is a refusal on the roster, not a note nobody reads.
One shift. Two days.
Two rates.
The worker is still doing the same job. The rate has changed. SysGuard splits the shift at midnight and prices each part on the correct day, automatically.
Pick a day and a start/finish. If it crosses midnight, SysGuard splits it and prices each part on the right day’s rate.
Sample rates, for illustration.
Midnight is the split everybody knows about. The same engine prices on all of these, and the rate that wins is the most specific one that applies:
Nothing reaches pay or billing until the approved hours are the ones that count.
The invoice is already built.
The approved shifts already carry the hours, the rates, the client and the GST. SysGuard rolls them into the invoice — nobody re-keys the same work a second time. That is Shift 4821 on the second line, at the $437.00 it was priced at four sections ago.
Recurring invoices issue themselves on their own clock, and a client who wants a PDF and a client who wants a spreadsheet are the same two clicks.
Xero and MYOB take the export file today; posting straight into the ledger is coming.
Invoice numbers are automatic and collision-proof, and every send is logged — so you always know what went out, and when.
One operation.
Different views.
The office, the worker and the client are in the same operation — not three systems that have to agree with each other afterwards. Multiple teams, clients and locations run in one organisation, each with their own rates, contacts and billing.
Runs the operation — roster, approvals, rates, invoicing and payroll.
Sees their shifts, accepts cover, signs on, reports incidents and books time away.
Sees their own site, requests changes, and hears when cover is actually arranged.
It installs to the home screen and notifies them — no app store, nothing to update. They answer an offer, sign on, report an incident and book time off from the same place.
Their week, their people, nothing else. They can ask for an extra guard or change the usual week — and asking is not deciding: it arrives as a request the office approves.
Everyone sees what they need — and pay, margin and worker details stay hidden unless the role permits it.
Built for records that matter.
Each company’s records are kept separate, and every request is checked against company ownership before data is returned or changed.
Six roles. Pay, margin and worker details stay hidden unless the role permits it.
Roster changes keep what they were and what they became; every email sent is logged.
Database backups run nightly, and restores are regularly tested in an isolated recovery environment.
Primary database hosted in Sydney, Australia.
Priced per company.
Not per person.

Same engine.
Your language.
If you send people to work shifts at sites, SysGuard adapts the terminology, the roles and the checks to your operation. This is the real setting, not a mock-up.
Guards, supervisors, venues, confirmations and complex rates.
Not listed? The wording is free text — labour hire, traffic control, events and trades all run on the same engine.
