Commercial cleaning

Cleaning company rostering software for cleaners across client sites.

Keep every contract site covered week after week, replace a cancelled clean before it starts, confirm the cleaner was on site, and bill the client from the hours worked or a fixed monthly fee — in one system.

For contract cleaning businesses with recurring client work.

Cleaning

Built for how contract cleaning actually runs.

  • Standing site needs, every week

Set how many cleaners each site needs on each day once. The roster shows any gap, and last week can be copied forward.

  • Clients ask, the office decides

A client can log in to change its usual week or ask for an extra clean or a quieter week. Nothing changes until the office accepts it.

  • Cancelled cleans covered before they start

When a cleaner cancels, offer the clean one at a time or to a group — every offer before the start, and the client told once someone accepts.

  • Evidence the cleaner was on site

Cleaners sign on and off with their phone or the QR code or NFC tag on site, with their location checked against the site — and a photo or signature where you require it.

  • Night cleans, priced by day

A clean that runs past midnight is split and priced at each day’s rate, and weekday evening and night rates are a switch.

  • Monthly contracts and extra hours, both invoiced

A fixed monthly fee goes out on its own schedule as a recurring invoice, while extra cleans are invoiced from the hours worked.

AI in SysGuard

AI that does the admin. People make the decisions.

It understands what you say, reads what comes back and answers what you ask. It never decides who works, what anyone is paid or what a client is billed.

  1. AI understands what you say about the roster

Tell it what happened. It finds the shift.

Type it or say it. The AI works out which shift you mean and shows you what it understood first. The rules check who may cover it — you choose who gets the offer.

  2. AI reads the timesheets that come back

Send a photo of the sheet. It reads every line.

Photos and PDFs — including handwriting — are read line by line and matched to the roster. Anything unclear is flagged for a person to check before it is paid or billed.

Ask for an operational report. In your own words.

Pay and billing

Contract fees and hours worked, from one system.

  • Pay rates by cleaner, site or role; charge rates by site, client or role.
  • A role can be priced as one flat amount per clean instead of by the hour.
  • Recurring invoices for fixed contract fees, issued on the day you set.
  • Invoices in six designs, an invoice export file for MYOB, and pay-run files for Xero and MYOB.
  • The rates are yours to set; SysGuard does not decide award entitlements for you.
Questions

What cleaning companies ask first.

Can I invoice a fixed monthly fee as well as extra hours?

Yes. A recurring invoice holds the contract fee and issues itself on the day you set each month; extra cleans are invoiced from the hours worked. Both are ordinary invoices with their own numbers.

Can clients ask for an extra clean?

Yes. A client can log in and ask for an extra clean, a quieter week or a new usual week for its sites. The office accepts or declines, and only an accepted request changes what the site needs.

How do I know a cleaner was on site?

Cleaners sign on and off on their phone or by scanning the QR code or NFC tag on site, and SysGuard records whether they were at the site when they did. A photo and a signature can be required; sign-on evidence is switched on per company.

Does SysGuard check cleaning certifications?

It keeps one credential per cleaner with its expiry — whichever you name — and refuses a missing or expired one at sites that require it. It doesn’t check any external register.

What happens when a cleaner cancels a shift?

The shift shows in the roster’s attention list and can be offered one at a time, offered to a group or posted as an open shift. Each offer is checked against the same rules and made before the clean starts.

Does SysGuard manage cleaning specifications, checklists or audits?

No. Notes on a shift can be shared with the client and incidents are recorded, but cleaning specifications, checklists and quality audits stay outside SysGuard.
