Logistics

Driver rostering software for logistics depots and overnight runs.

Roster drivers across your depots with their licence expiry checked, check rest before anyone is booked back too soon, cover a cancelled run before departure, and turn the hours worked into pay runs and client invoices.

Logistics

Built for how logistics actually runs.

  • Licence expiry checked where it matters

Each driver’s licence number and expiry are recorded. At a depot that requires a licence, a missing or expired one blocks the booking — a check of the dates you record.

  • Rest checked between shifts

Before a driver is booked back, SysGuard checks the rest since their last shift — a warning or a block, your setting — and a weekly report flags anyone over your hours cap in any seven days.

  • Overnight runs, priced by day

A run that crosses midnight is split, and each part is priced at the rate for that day — weekends and public holidays included.

  • Several depots, one roster

Every depot sits on one roster. A driver already on another run at that time is caught, and one based in another state is flagged before they are booked.

  • Cancelled runs covered before departure

Offer the run one driver at a time or to a group. Offers stop at departure time, and the depot is told once someone accepts.

  • Pay by the run or by the hour

A role can be paid and charged as one flat amount per shift — a run rate — with the hours still recorded.

AI in SysGuard

AI that does the admin. People make the decisions.

It understands what you say, reads what comes back and answers what you ask. It never decides who works, what anyone is paid or what a client is billed.

  1. AI understands what you say about the roster

Tell it what happened. It finds the shift.

Type it or say it. The AI works out which shift you mean and shows you what it understood first. The rules check who may cover it — you choose who gets the offer.

    • Bree H.licence in date · free · rested
5 checked · 3 can take it · 2 blocked by the rules — you choose.
  2. AI reads the timesheets that come back

Send a photo of the sheet. It reads every line.

Photos and PDFs — including handwriting — are read line by line and matched to the roster. Anything unclear is flagged for a person to check before it is paid or billed.

  3. AI Reports — in your own words

Ask for an operational report. In your own words.

Typed or spoken. The answer comes back as a table and a chart. Follow it up, save it, and have it arrive every Monday.

Pay and billing

Runs and hours, paid and billed from one record.

  • Pay rates by driver, depot or role; charge rates by depot, client or role.
  • A run rate as one flat amount per shift, or hourly — whichever the role uses.
  • Saturdays, Sundays and public holidays by state; overnight runs split at midnight.
  • Client invoices in six designs and pay-run files for Xero and MYOB.
  • The rates are yours to set; SysGuard does not decide award entitlements for you.
Questions

What logistics operators ask first.

Does SysGuard manage heavy vehicle fatigue rules or work diaries?

No. It checks the rest between rostered shifts against the setting you choose and flags weekly hours over your cap, but it isn’t an electronic work diary and doesn’t apply heavy vehicle fatigue law.

Can it check drivers’ licences?

It keeps each driver’s licence number and expiry and refuses a missing or expired licence at depots that require one. It doesn’t check licence classes or connect to a licensing authority.

Can I pay drivers per run?

Yes. Set the role to a flat amount per shift and each run is paid and charged as one amount, whatever its length; the hours are still kept.

Does SysGuard track vehicles or routes?

No. A driver’s location is checked only when they sign on and off, against the depot. SysGuard doesn’t track vehicles, routes or deliveries.

Can drivers sign on at the depot?

Yes, with their phone or the QR code or NFC tag at the depot, and their location is checked against it. A photo and a signature can be required. Sign-on evidence is switched on per company.

How do run hours become pay and invoices?

Hours come from the roster and the driver’s sign on and off, or from a run sheet the AI reads line by line. A person approves them, then SysGuard prepares the pay run and each client’s invoice from the same hours.
