    NSW through the licence register itself, WA against WA Police’s published lists every week. A licence reported cancelled, suspended or not found stops that guard being rostered anywhere until someone checks it by hand.

  • Site exclusions that hold

    When a client asks for a guard not to return, SysGuard will not roster or offer them there — not from the roster, not in an offer round, not through an open shift.

  • Cover when someone drops out

    Offer the shift one at a time or to a group, or post it as an open shift. Every offer is checked against the same rules, and the site is told once — after someone accepts.

  • Evidence the guard was on site

    Guards sign on and off on their phone, with their location checked against the site — and a photo and signature where you require them. Timed welfare checks for lone guards, followed up in steps if one is missed, and a Help button. Switched on per company.

    The guard’s original account is kept, with structured fields for details such as force used, police, CCTV, injuries and follow-up. Every version stays with the record.

  • Pay rates by guard, site or role; charge rates by site, client or role — each for weekdays, Fridays, Saturdays, Sundays and public holidays.
  • Public holidays by state: pay follows the guard’s state, billing follows the site’s.
  • A shift that crosses midnight is split, and each part is priced at the rate for that day.
  • Every rate is on the rates screen and can be changed there. Nothing hidden.

Questions

What security companies ask first.

Can SysGuard check security licences?

Yes. In NSW it checks the licence register on a schedule you choose; in WA it reads WA Police’s published lists every week. A licence the register reports as cancelled, suspended, refused or not found blocks that guard from being rostered until someone records a hand check. For other states the licence number and expiry date are kept, and an expired licence blocks sites that require one.

Can I exclude a guard from a particular client or site?

Yes — site by site. When a client asks for a guard not to return to a site, add them to that site’s exclusions and SysGuard treats it as a block, not a warning: the roster, the offer round and open shifts all refuse it. For a client with several sites, exclude the guard at each one.

Can guards sign on and off from client sites?

Yes, on their phone. SysGuard checks their location against the site when they sign on and off, and can require a photo and a signature. A QR code or NFC tag at the site opens the sign on directly, and the office can record a sign on for a guard who can’t, with a reason. Sign-on evidence is switched on per company.

Can SysGuard handle overnight and 24/7 security rosters?

Yes. A shift can run overnight: one that crosses midnight is split, and each part is priced at the rate for its own day, including weekends and public holidays. Set each site’s standing needs so uncovered shifts show up, copy a week’s roster forward, and SysGuard checks rest between shifts before anyone is rostered back too soon.

Does SysGuard calculate award rates?

SysGuard applies your company’s configured rates exactly — by site, client, role and day, and per guard for pay — with weekends, public holidays by state and shifts split at midnight. The rates are yours to set and see; SysGuard does not decide award entitlements for you.

How does security timesheet and billing processing work?

Hours come from the roster and the guard’s sign on and off, or from a timesheet photo or PDF that the AI reads line by line, flagging anything unclear. A person approves the hours. SysGuard then applies your pay and charge rates and prepares the pay run — with files for Xero and MYOB — and the client invoice from the same approved hours.
